Role Management

Role-based permission management is a mechanism that allows you to easily control what users on the YourCX platform can do and which resources they can access. Here's how roles work and the benefits they offer:

Defining Roles

An administrator creates roles—each being a predefined set of permissions.
Example roles include:

  • Administrator – full access, including creating accounts and configurations.

  • Analyst – can view and export data but cannot modify settings.

  • Viewer – can access reports but cannot make changes.

Each role is defined by a specific set of privileges—such as the ability to create surveys, delete projects, or only view dashboards.

Simplified Management

  • Instead of managing permissions for each user individually, you can create predefined permission sets (roles) and assign them as needed.
  • When permission changes are required, simply update the role—changes will automatically apply to all users assigned to it.

Consistency and Clarity

  • Defined roles clearly communicate what actions are allowed. New employees or collaborators instantly know what they have access to, and administrators can be confident that no one gains access by accident.
  • Standardized access helps prevent misunderstandings (e.g., whether someone can delete data or only view it).

Security

  • A role-based system ensures better control over organizational resources (e.g., a user may only see reports relevant to their department).
  • Temporary roles can also be created for external collaborators, restricting their access to sensitive data.

In team environments, roles are essential for defining responsibilities and controlling the flow of information—helping reduce errors and making collaboration more transparent.

User Login History

User login history is essential for security and audit purposes.
It enables tracking of who logged in, when, and from where—helpful in detecting unauthorized access attempts or unusual activity patterns.
It also serves as evidence of user actions, which is useful when investigating data changes or configuration issues.
Login history provides clear visibility into user access behavior across the platform.
